Cottage Health is currently seeking an experienced Executive Assistant/Sr. Admin Assistant to support the Vice President of General Counsel. General Counsel represents Cottage Health in providing advice and counsel on legal, regulatory and policy matters.


About the Position

The Sr. Admin Assistant is principally responsible for providing independent administrative support and developing workflow processes/systems for the VP of General Counsel and direct reports with minimal supervision and direction. The ideal candidate will be a highly organized, proactive assistant who exhibits strategic multi-tasking abilities while remaining calm under pressure. The Sr. Admin Assistant will possess strong attention-to-detail, excellent written and verbal communication skills, and a high level of discretion.

 

Responsibilities/Duties:

  • Performs administrative and executive support to the Vice President, including answering telephones, processing all incoming and outgoing mail, managing calendar, coordinating meetings, arranging travel, filing, faxing and copying, etc.
  • Responds on behalf of Vice President as directed.
  • Sends out agendas prior to meeting, takes minutes, transcribes the information and distributes the minutes.
  • Coordinates meetings, travel arrangements and other duties or projects as needed for members of the department and other duties or projects as needed.
  • Coordinates gathering of input, documents, etc. from single sources for reports and presentations.
  • Serves as liaison for the department.
  • Performs other duties as assigned.

 

Qualifications:

 

Level of Education

·         Preferred: AA degree in law related field or healthcare.

 

Technical Requirements

  • Minimum: 60+ wpm typing speed and Advanced Microsoft Word, Excel, PowerPoint and Outlook skills (testing will be required).
  • Preferred: Tech-savvy, ability to trouble-shoot minor technical issues i.e. multi-line phone systems, KRONOS, projectors, etc.

 Years of Related Work Experience

  • Minimum: 3+ years’ experience supporting a Vice President or CEO. Must have a minimum of 5+ years of administrative/clerical experience.
  • Preferred: 5+ years’ experience supporting a Vice President or CEO.
